I put together this video to show how to quickly create and send a professional invoice using PayPal, even if you’ve never done client billing before.

You don’t need fancy invoicing software to bill clients or collect payments. If you already have a PayPal account, you can create and send invoices in under 5 minutes — and track everything in one place.

Whether you’re a freelancer, coach, or running an online business, this tool is simple and reliable.

Step 1: Log in and head to the “Invoicing” section

Start by logging into your PayPal Business dashboard. If you’re using a personal account, you can still send invoices, but I recommend upgrading to Business for more tools and flexibility (it’s free).

Go to “Pay & Get Paid” > Invoicing in the top menu.

Click “Create Invoice.”

Step 2: Fill out the invoice details

Here’s what you’ll need to include:

  • Bill to: Add the client’s name and email

  • Item description: What are you charging for? (e.g., “Video editing for March,” “1:1 coaching session,” etc.)

  • Quantity and rate: Add your pricing breakdown

  • Due date: Choose “Due on receipt” or set a specific due date

You can also:

  • Add your logo

  • Include custom notes

  • Adjust tax or shipping if needed

PayPal automatically totals everything, so there’s no math on your part.

Step 3: Preview and send

Click “Preview” to double-check formatting and details. Then hit “Send” — PayPal will email your client with a secure payment link.

They can pay by:

  • PayPal

  • Debit or credit card

  • Even bank transfer in some regions

You’ll get an email notification when they’ve paid.

Step 4: Track invoices and follow up

Inside the Invoicing dashboard, you’ll see:

  • Sent invoices

  • Paid invoices

  • Overdue invoices

You can resend, duplicate, or cancel invoices anytime. There’s also a “Reminder” option to gently nudge clients who haven’t paid yet.
